Business Development Coordinator

KEY ROLE

The Business Development Coordinator Business Development Coordinators are responsible for identifying and evaluating prospective clients with the goal of building new client relationships or business opportunities. As the front-end of Sales, they can come up with strategies that will help the organization achieve growth targets; making sure we have enough potential clients in the pipeline that are interested in eventually securing the organization’s services.


A Business Development Coordinator is responsible for all lead generation within the Business Development team. They do this through a combination of inbound and outbound marketing channels. A successful Business Development Coordinator is able to qualify leads, inform potential clients about our services and book them for Discovery Calls with our team. CLIENT CARE is the ultimate focus here, creating a flawless and pain-free customer experience for potential clients wanting to learn more about what Rocket Station can do for their business.

RESPONSIBILITIES

  • BOOK DISCOVERY CALLS! Lead generation
  • Communicate with new leads to gather information, address inquiries, and maintain positive relationships.
  • Manage and update the Customer Relationship Management (CRM) system with accurate and current information on leads.
  • Coordinating events, conferences, or trade shows to generate leads and enhance organizational visibility.
  • Engage in training and development opportunities to enhance skills and contribute effectively to the team.
  • Demonstrate a willingness to learn, adapt to new strategies, and overall grow within the Business Development Coordinator role.
  • Social Media response management, both Facebook and LinkedIn
  • Discovery Call scheduling and lead’s initial calendar management
  • Inbound Call reception for Sales and Rocket Station trunkline, including call back for missed calls and left voicemails in the trunkline.
  • Email management
  • List Development and lead skip tracing (Apollo, HubSpot & Social Media)
  • Discovery Call No Show follow-up and rescheduling

Inbound Lead Resources

Task Performance

  • Minimum of 2 years of Sales experience / Business Development role (Experience working with US-Based clients is a plus but not mandatory)
  • Candidates with 2 Years of Account Manager roles in the past (client acquisition) are the best fit for this role.
  • Comfortable handling 90% voice tasks
  • Has passion for sales and great negotiation closing skills 
  • Must have a deep understanding of Sales and Marketing principles.
  • Must possess great communication skills both verbal and non-verbal
  • Must have strong attention to detail and can work with minimum supervision
  • Should possess good time management and organizational skills
  • Must be determined, outgoing, positive, articulate and diplomatic.
  • Amenable to work at night based on the client’s timezone or 4 x 10 schedule

JR. BUSINESS DEVELOPMENT ANALYST

Jr. Business Development Analyst

KEY ROLE

The Junior Business Development Analyst provides foundational support to the overall analytical capabilities of the Business Development Team. This includes conducting routine reports, trends, and goals analysis, participating in data collection efforts, and assisting in market research initiatives. This individual works closely with Senior Data Analysts. Junior Data Analysts perform complex analytical processes and develop proficiency in data interpretation. S/he contributes to the preparation of reports and presentations and can help systematize and create process documents. 


This person plays a key role in enhancing the team’s ability to derive actionable insights from data, provide suggestions for Business Development strategies, and contribute to a continuous data learning environment.

RESPONSIBILITIES

  • Accountable for monitoring and analyzing the Business Development team’s performance against set goals, ideally achieved through conducting research, interpreting data, and reviewing sales reports on a weekly, monthly, quarterly, and annual basis.
  • Analyze trends and provide recommendations based on trending data findings, including sales forecasting, financial reports, and marketing analysis.
  • Ensure team member efficiency and success by overseeing, analyzing, and reporting internal metrics, scorecards, and department trackers through Excel, Google Sheets, and HubSpot System Analysis.
  • Perform market research by consistently collecting, cleansing, and analyzing data such as revenue, sales, market information, and customer engagement metrics for the Sales Team
  • Handle program computation and trackers, including creating data models to help visualize or monitor data, and Sales Forecasting.  
  • Administer and organize contract copies for clients and affiliates, maintain client lifecycle reports, and facilitate the distribution of proposals using Adobe Echosign Service Agreements for Clients and Affiliates AMP
  • Assist in reviewing pitch decks, assessing their relevance to team output, and identifying new business opportunities while developing applicable Business Development strategies to contribute to the department’s continued growth
  • Engage in daily collaboration with colleagues, including Team Seniors, Business Development Leads, Sales Coordinators, and Business Development Coordinators, as well as Internal Clusters. Duties also include reporting to higher-level staff members such as the Business Development Director, CEO, and CFO, whenever necessary.


QUALIFICATIONS

  • Has a minimum recent 1 year of experience using HubSpot specifically in reports/dashboard creation
  • Can analyze business data, make recommendations,  and create a detailed report to be used in presentations, highlighting and understanding Pivotal trends
  • Advanced proficiency in Excel/Google Sheets including dashboard construction, Excel formulas, and a basic understanding of scripts and macros is advantageous.
  • Demonstrated attention to detail in previous work experiences.
  • Relevant work experience in process documentation is required.
  • Excellent verbal and written communication skills.
  • Previous experience in Sales, IT, Data Management, Business Analytics and/or Business  Intelligence, or people management is an advantage

KEY ROLE

The Junior Business Development Quality Assurance  (QA)   Specialist is responsible for assessing the quality of the performance of the Business Development Department’s external-facing team members who deal with lead generation and closing new client partners. S/he is responsible for monitoring inbound and outbound calls and email responses to assess team members’ demeanor, technical accuracy, sales competency, quality of conversation, and conformity to company policies and procedures. This individual will assist in developing, creating, and implementing call quality processes and procedures; as well as making recommendations for enhancements to training materials as needed. The main goal is to maintain a high and consistent level of quality across the team specifically in new client acquisition.

RESPONSIBILITIES

  • Conducts regular call monitoring and provides trend data to the Business Development team, making sure team performance is always being monitored: calls, emails, texts, and CRM Accuracy.
  • Uses a quality monitoring data management system/parameters to compile and track performance at team and individual levels.
  • Performs audits of external team members’ email responses.
  • Provide support in documenting quality assurance findings and maintaining accurate records.
  • Play a crucial role in the day-to-day execution of quality assurance tasks, ensuring that quality standards are consistently met.
  • Learn from Senior Specialists and actively participate in learning and development opportunities.

QUALIFICATIONS

  • Must have a minimum 2 years experience as a Quality Assurance Specialist, preferably in Sales or Business Development, handling call audits and analyzing performance trends.
  • Excellent verbal and written English communication skills.
  • Must be proficient in MS Office applications and Google Docs.
  • Skills in complex problem-solving, judgment, critical thinking, and decision-making.
  • Strong attention to detail.
  • Excellent data collection and analysis skills.
  • Ability to work with others in a team environment, occasionally under time pressure and on several tasks simultaneously.
  • Sales experience is a plus.

The Junior Systems Specialist  is responsible for providing admin,  system and applications support for the Sales Team specifically  HubSpot maintenance and optimization including integration with other tools that the Department currently utilizes.

RESPONSIBILITIES

  • Primarily involved in day-to-day operational tasks and routine maintenance.
  • Focus on learning and gaining practical experience in the systems and processes.
  • Assists in monitoring key metrics for Apollo and Hubspot
  • Assisting in the assurance of data cleanliness 
  • Monitoring Data Accuracy for all aspects of the sales pipeline in relation to ScheduleOnce, Apollo, and other integrated tools by working with internal reps and teams
  • Support all external and internal team members if problems/issues/glitches arise
  • Be able to identify and report problems/issues/glitches to the seniors to dig into real issues for solutions
  • Create or update process documents to ensure compliance with the team sales process

  • Assist in process improvement projects as required

SALES COORDINATOR

Sales Coordinator

KEY ROLE

The  Sales Coordinator is responsible for providing administrative support to the Sales Team and contacting all potential Rocket Station leads/clients to schedule sales meetings/ appointments confirm receipts of communication and attend daily meetings.

RESPONSIBILITIES

  • Provide administrative support to relevant parties within the client’s organization.
  • Keep an accurate record of all  Rocket Station prospective clients to regularly update leads status within the Customer Relationship Management software (CRM)
  • Work closely with Sales Team Members in managing calendar, organizing, filing of important documents, and communicating all important and relevant information.
  • Regularly review scheduled meetings, re-evaluate priorities, and update calendar invites when necessary. 
  • Remind Business Development Leads concerning deadlines, meetings,  and commitments in a timely manner. 
  • Manage internal reports and metrics
  • Contact all Rocket Station prospective clients or leads  assigned  to schedule  appointments 
  • Contact leads to confirm pre-scheduled appointments and ensure all Sales Team Members have a high-quality, up-to-date support system to  improve their productivity
  • Respond to inquiries of the company’s prospective clients.
  • Follow up on new business opportunities to set up meetings.
  • Oversee the development of marketing literature.
  • Gather, create and interpret data and reports.
  • Update all the required documents for each transaction.
  • Performs any other related duties as required or assigned.

QUALIFICATIONS

  • Should have at least 2 years of experience in the Call Center industry or relevant administrative support experience as a Virtual Assistant/Executive Assistant
  • Experience as an Virtual/Executive Assistant in a work from home set-up is an advantage
  • Comfortable handling 90% voice tasks
  • Must have strong attention to detail and can work with minimum supervision
  • Should possess good time management and organizational skills
  • Must have good communication skills both verbal and non-verbal
  • Experience working in a Business Development or Sales background is also a  plus but is not a requirement
  • Amenable to work at night based on the client’s timezone
