Virtual Assistant 

The Virtual Assistant is responsible for performing all tasks provided by Rocket Station Clients and ensures that s/he exceeds client expectations to sustain a successful business partnership with Rocket Station.

VIRTUAL SALES ASSISTANT

KEY ROLE

The Phone Sales VA /Telemarketer will focus on sales-related functions for qualified leads, interacting with potential or existing customers and promoting the client’s products and services.

RESPONSIBILITIES

  • Should have at least 1-2 years experience in a call center as a Sales Representative for a U.S.-based account
  • Answer inquiries of the company’s prospective clients.
  • Maintain existing customer base while acquiring new leads.
  • Follow up and qualify leads from online inquiries, marketing campaigns, and other activities.
  • Record call history and customer responses with efficiency and accuracy.
  • Monitor competitor’s products and services and create selling strategies when necessary.
  • Update and maintain CRM or scheduling database as needed
  • Perform any other related duties as required or assigned.

Skillset

  • Should have at least 2 years experience in a call center as a Sales Representative for a U.S.-based account  
  • Energetic and engaging conversationalist 
  • Strong command and fluency in spoken and written English 
  • Must have strong attention to detail and can work with minimum supervision
  • Should possess good time management and organizational skills 
  • Amenable to work based on the client’s timezone


SYSTEM REQUIREMENTS

  • Computer Processor: at least i3 5th gen/ i5 3rd gen( for both primary and back-up computers)
  • Computer Memory/RAM: at least 4.00 GB (for both primary and back-up computers) 
  • Computer Operating System: at least Windows 10 


Internet Speed

  • Primary Connection: running on a 10 Mbps wired plan (above 10mbps preferred)

BOOKKEEPING VA

Bookkeeping VA

RESPONSIBILITIES

  • Process invoices in the system
  • Enter data in the system based on invoiced received or processed
  • Validate transactions with the invoice from vendors/third-party providers
  • Handle management fees/charges – make sure that there are no duplicate charges in the account or charges are set on the correct month
  • Help manage current accounting practices
  • Process account payables (utilities, insurance, contractors, etc.)
  • Confirm and track Account Receivables
  • Process deposit returns and refunds requests
  • Implement basic procedures as
  • Zero dollar receipts
  • Journal Entry
  • Transferring of money from account to account
  • Reimbursement
  • Payment tracking
  • Assist in the reconciliation of accounts
  • Assist in budget creation  
  • Assist in compliance for all receipts, bank deposits, bills & charges
  • Create executive summary reports for clients.  Assist with Reports and Statement inquiries from clients and statement availability:
  • Running monthly statement
  • Monthly Reconciliation
  • Profit and Loss
  • Assist with closeouts of accounts and manage ledgers that need to be zeroed out
  • Reduce duplicate management fees and slow payouts
  • Oversee bills detail reports to avoid duplicate bills, proper processing times
  • Oversee payroll and reimbursement 
  • Handle inquiry from team members (internal organization) for any accounting or bookkeeping concerns


Skillset

  • At least 1 year of bookkeeping/accounting administration experience
  • Intermediate to Advanced skills/knowledge of spreadsheets is a plus (MS Excel/Google Spreadsheets)
  • Pivot tables
  • Look Up formulas
  • Create graphs to present data in a concise manner
  • Creating reports through Excel/spreadsheets is a plus
  • Strong organization and attention to detail
  • Has excellent time management skills
  • Good problem-solving and critical thinking skills
  • Proactive in completing all the tasks
  • Has a way with numbers
  • Familiarity with CRM systems used in accounting is a plus
  • Strong verbal and written communication skills are required
  • Accounting degree or any equivalent courses is a plus
  • Necessitates someone who can commit to working full-time

ADMIN SUPPORT VA

Admin Support

KEY ROLE

The Admin Support will streamline daily operations and free up their client’s time by handling a wide range of administrative tasks efficiently and proactively. They act as a remote assistant, typically working online, and can be seen as an extension of their client’s team.

RESPONSIBILITIES

  • Managing emails and calendars, including scheduling appointments, and meetings.
  • Handle inbound and outbound calls to existing and new clients.
  • Follow up and qualify leads from online inquiries, marketing campaigns, and other activities
  • Coordinate with partner vendors for work order requests.
  • Creating, editing, and formatting documents, presentations, and spreadsheets.
  • Maintaining databases, entering data, and extracting reports.
  • Assisting with research tasks, data analysis, and report preparation.
  • Assist in process documentation and workflows
  • Input and validate customer information in CRM.
  • Create social media content, scheduling posts, engaging with followers, and monitoring online presence.
  • Create and send out monthly newsletters. 
  • Develop and update the existing marketing materials.

QUALIFICATIONS

  • Prior experience as an administrative assistant for at least 1 year, or in a similar role is highly valued. 
  • Require a minimum of 1 year experience in phone management.
  • Proficiency in essential software like Microsoft Office Suite and Google Suite, email, and internet navigation is crucial. 
  • Familiarity with project management tools, cloud storage platforms, and online calendars is a plus.
  • Strong command and fluency in spoken and written English 
  • Must have strong attention to detail and can work with minimum supervision
  • Should possess good time management and organizational skills
  • Someone who is exceptionally detail-oriented and can think on their feet.
  • Amenable to work based on the client’s timezone
  • Ensure confidentiality and discretion with client information is essential.
  • Possess foundational knowledge and experience in Social Media Marketing
  • Familiarity with graphic design and photo/video editing is advantageous but not mandatory.

VA INSTRUCTOR

VA Instructor

VA Onboarding

KEY ROLE

The Rocket Station certification process ensures that all VAs who go through the program are set up for success. A VA Instructor’s main task is to facilitate onboarding and assess each VAs performance before certification.

RESPONSIBILITIES

Manage a class of new VA’s to facilitate the transfer of knowledge and nurture the Rocket Station values

Focuses on strengthening foundation skills

Conduct screening and assessments to evaluate the VA’s performance using the standards set by the company and the VA Scorecard system

Certify new VA’s and prepare them for client placement

Re-evaluate the certification plan and calibrate with the Career Specialist team to ensure the placement success of VAs

Schedule feedback sessions for the VAs and discuss items related to their performance or counseling sessions for discipline management

Maintain and update the VA scorecard

Coordinate with all Rocket Station departments for any related VA queries

Conducts Training Needs Analysis to continuously improve the training experience provided to all VAs

QUALIFICATIONS

Must have experience as a Trainer in a BPO company for at least 2 years

Excellent verbal and written English communication skills.

Must be efficient with MS Office applications and Google Docs.

Possess strong organizational skills

Has concise thought and critical comprehension.

US Real Estate knowledge is a plus.

Experience in facilitating virtual training classes is a plus.
