Compliance & HOA Specialist

You’ll be the detail-oriented professional ensuring our clients’ properties remain in full compliance with HOA rules, local regulations, and lease agreements. This role goes beyond paperwork — you’ll proactively identify compliance risks, manage violation resolution, and serve as the liaison between property managers, HOA boards, tenants, and local authorities. Job Description – Compliance & HOA Specialist

What You’ll Do

HOA Compliance Management

  • Monitor and enforce HOA rules, CC&Rs, and community guidelines across managed properties
  • Process and track HOA violation notices from receipt through resolution
  • Coordinate with tenants and property managers to resolve violations within required timelines
  • Attend virtual HOA board meetings and document key decisions, rule changes, and action items

Regulatory & Lease Compliance

  • Track local, state, and federal regulatory requirements affecting managed properties (fair housing, safety codes, licensing)
  • Audit lease agreements for compliance and flag upcoming renewals, expirations, or required amendments
  • Maintain organized compliance documentation and ensure audit-readiness at all times

Communication & Resolution

  • Draft and send professional compliance notices, cure letters, and follow-up correspondence
  • Serve as the point of contact between property managers, HOA boards, tenants, and local government offices
  • Escalate unresolved compliance issues with clear documentation and recommended actions
  • Build and maintain compliance calendars tracking deadlines for inspections, certifications, insurance renewals, and HOA submissions
  • Generate regular compliance status reports for property managers and owners

Tools You’ll Use

Proficiency in at least one tool per category is expected. You don’t need to know them all — we’ll invest in your growth.

  • Accounting Software: QuickBooks Online (QBO), Xero, FreshBooks, or PM-specific platforms like Yardi, AppFolio, or Buildium
  • Spreadsheets: Advanced Microsoft Excel and/or Google Sheets
  • Document Management: Google Drive, OneDrive, Dropbox, or SharePoint
  • Communication: RingCentral, Dialpad, Slack/Teams, Zoom

What We’re Looking For

  • 2+ years of hands-on experience in U.S. bookkeeping or accounting (property 
  • management experience strongly preferred)
  • Deep proficiency in QuickBooks Online, Xero, or Yardi — you should be able to navigate these in your sleep
  • Impeccable attention to detail and an analytical, problem-solving mindset
  • Excellent spoken and written English — you’ll communicate directly with U.S.-based clients and vendors
  • High integrity and discretion with confidential financial data
  • Bachelor’s degree in Accounting, Finance, or a related field (preferred but not required if you have the experience to back it up)

  • On-time delivery of all month-end reporting and close processes
  • Measurable reduction in Days Sales Outstanding (DSO)
  • Zero unclassified transactions at the end of every reporting period
